Your details, handled properly.
What we collect
When you send an enquiry we collect your name, email address, phone number if you give it, the service you're interested in and whatever you tell us about your business. If you become a client we also collect your business details (such as your ABN and address), billing details and the content we need for your work.
Our website records the IP address and browser type of anyone submitting a form. This is used only to block spam and abuse.
We use Google Analytics to count visits and see which pages are useful, and Google Ads to measure whether our ads lead to enquiries. These set cookies and record things like the pages you view, roughly where you are and the device you use. They do not tell us who you are. You can block them in your browser settings or with Google's opt-out browser add-on.
Phone calls
Calls to 0495 107 860 are answered by an AI assistant, which tells you so at the start of the call. Calls are recorded and transcribed so we can reply to you. The recording, transcript and the details you give are processed by our voice-AI provider, ElevenLabs, and stored with our cloud hosting provider. We use your caller ID to recognise you if you call again.
What we use it for
To reply to you, prepare a proposal, do the work you've asked for, and invoice you. We do not sell your details or share them with anyone outside Online First and the software providers we use to run the business: Microsoft Azure (hosting and email delivery), Google (email, analytics and ads), ElevenLabs and Twilio (phone calls) and Stripe (payments). Some of these providers store data outside Australia, including in the United States. They are bound to protect it.
How long we keep it
We keep client records for seven years after the last invoice, as required for tax purposes. Enquiries that don't become clients are deleted after twelve months.
Your rights
You can ask to see what we hold about you, ask us to correct it, or ask us to delete it, by emailing [email protected]. We respond within 30 days. If you're not satisfied with how we handle a complaint you can contact the Office of the Australian Information Commissioner.
